The problem
The answer should not live in one volunteer’s spreadsheet
When balances are maintained by hand, boards lose time reconciling records, homeowners receive inconsistent answers, and restrictions can remain in place long after the reason is gone.
totalHOA derives each balance from the household ledger and uses that same figure across the board console, resident portal, reports, payments, and authorized AI answers. Nobody has to copy the number from one system to another.
“What does this household owe, how old is the debt, and what have we already done?”
One connected record answers the whole question. The distinction that keeps the process clear
Two states. One household balance.
Collections status describes the debt process. Account standing describes resident privileges. totalHOA keeps them separate so automation never makes a board decision it should not make.
Collections status tracks the money
Configured policies can move a past-due account through the association’s collection stages, subject to waiting periods, pauses, holds, and optional board approval.
Account standing controls privileges
Good Standing, Warning, Restricted, and Suspended determine how the household can use selected parts of the resident portal. Every restriction requires an administrator and a written reason.
What Balances does
From today’s position to the complete history
The feature is designed around three practical jobs: knowing what is owed, running a consistent process, and keeping resident access decisions traceable.
One balance derived from the ledger
Charges, payments, credits, and reversals update the household’s position. Every connected screen reads the same resulting balance.
Board members and homeowners stop debating which number is current.
Aging visibility for the whole association
See account counts and totals across 1–30, 31–60, 61–90, and 90+ day buckets, with the status and next step beside each account.
Monthly receivables reporting becomes a review task, not a spreadsheet project.
A configurable collections workflow
Set escalation stages, timing, payment-plan pauses, approval requirements, and notice methods once, then apply them consistently.
The process no longer changes when the board or treasurer changes.
Safe pauses for exceptional accounts
Payment plans can pause escalation. Administrator holds and recorded bankruptcies can stop automated collection actions while current assessments continue.
The workflow recognizes the exception instead of relying on someone to remember it.
Self-service statements and payments
Homeowners can review their current balance, open charges, payments, due dates, PDF statements, and receipts, then pay from the same billing view.
Homeowners can find routine balance answers without emailing the treasurer.
A permanent, attributed history
Standing changes and collection actions retain the date, previous state, new state, reason, and responsible person or process.
A future board can reconstruct what happened without calling the former treasurer.
How it works
From a missed due date to a resolved account
Each step builds on the same ledger-backed balance, so the report, resident experience, workflow, and history stay aligned.
The balance becomes past due
The nightly check identifies an unpaid charge beyond the delinquency threshold and records when the account entered the process.
The board sees the full position
The Aging Report groups the account by age and shows its balance, status, payment-plan state, and next eligible action.
The configured policy guides the next step
Escalation respects timing, holds, payment plans, and approval rules. A privilege restriction still requires a human decision and reason.
Payment updates every connected view
A qualifying online payment updates the balance and can restore eligible privileges. Accounts in pre-lien or later collection stages still need administrator review before their status changes.
One record, two useful views
The board sees the portfolio. The household sees its own account.
Both sides work from the same underlying balance without exposing one household’s financial information to another.

Balances is where the rest of the money workflow comes together
It does not create obligations or move money by itself. It turns the surrounding activity into a clear, current position for the association and the household.
Questions boards ask
HOA balances and delinquency FAQ
No. A past-due balance can place the account in the collections process, but reducing resident privileges is always an administrator’s decision with a written reason. Automation can restore privileges after a qualifying online payment clears the balance.
The current workflow flags an account when it has a positive balance and at least one unpaid charge more than 30 days past due. The date is recorded and used for the Aging Report’s four time buckets.
Owners and co-owners can review their current balance, open charges, recent statement activity, due dates, receipts, and downloadable statements in the resident billing view. Other household residents receive more limited balance-level information.
It can pause escalation when the association’s policy is configured to honor active payment plans. The account remains delinquent until the balance is resolved, and the Aging Report shows that the next step is paused.
The software does not automatically clear an escalated legal status or release a lien. It leaves those actions for administrator review because a paid balance does not by itself complete the legal process.
