Building maintenance schedules

The master calendar that holds every system's inspection cycle in one place.

A building maintenance schedule is the master calendar that says what gets inspected or serviced, how often, and by whom, across every system your association owns. Different components run on different clocks: some need a visual check every week, others a licensed inspection every five years. The schedule's job is to hold all of those clocks in one place.

Every system runs on its own clock

A maintenance schedule exists because deferred maintenance, work that should have happened and did not, is what happens when nobody is tracking the calendar.

Some systems need a five-minute visual check every week. Others need a licensed professional test once every several years. Life-safety systems like fire sprinklers and fire alarms follow a layered structure: routine visual and functional checks feeding into deeper, less frequent professional testing. The exact intervals depend on which edition of the fire and fire alarm codes your jurisdiction has adopted; confirm the binding schedule with a licensed fire protection or fire alarm contractor.

Elevators work the same way. Sources describing the elevator industry's safety codes report an annual Category One test covering brakes, doors, and emergency systems, and a far more thorough Category Five test roughly every five years. Passing today's test does not fix the schedule forever: a companion code exists specifically so jurisdictions can require older elevators to add safety features that postdate their original installation. Confirm current intervals and requirements with your elevator contractor.

The same building, five different clocks

Walk the property and the cadences multiply. Roofing-trade guidance calls for an inspection in spring and fall, plus one after any severe storm. Asphalt gets sealcoated roughly every two to three years and crack-sealed on its own, more frequent cycle starting a few years after paving. Mature trees near buildings or walkways are commonly reassessed every one to three years, more often for higher-risk trees. Outdoor lighting is different again: it is not serviced on a date at all, but replaced or cleaned once its light output drops to roughly 70 percent of the original level.

Septic systems split one job into two separate cadences.

Skip the inspection and the tank fills with slowly migrating solids that can eventually clog the drainfield, turning a routine pumping job into a full drainfield replacement.

None of these numbers are interchangeable. A schedule built around a single date, the reserve study's fiscal year end, say, will always miss most of them.

A schedule is not your log, and not your reserve study

Three documents get confused constantly. The maintenance log records what was actually done. The reserve study's condition assessment periodically re-rates what remains of a component's useful life, for funding purposes. The maintenance schedule sits between them: it says what should happen next, on which system, and by when.

That distinction matters because a reserve study only lists a component if it clears a four-part test: association responsibility, a limited useful life, a predictable remaining life, and a cost above the association's own threshold. A system the board is obligated to maintain can legitimately be absent from the reserve study if it fails one of those tests. A septic system's inspection cycle, for instance, is a real maintenance duty even though it may never show up as a reserve line item.

Build the schedule from the top down: start with whatever statute or adopted code sets a mandatory interval, then lender and insurer requirements, then what your governing documents assign to the association versus individual owners, then industry standards, then fill remaining gaps with board policy.
